Purpose of processing personal data
We process personal data when you look for housing, become a tenant and also for some time after your agreement has ended. The purpose is to be able to administer your application, conclude agreements, maintain our obligations in the rental relationship and provide good service. This could, for example, be about putting up a name plate on the door, sending out rent receipts or receiving fault reports.
Personal data that may be processed
Name, social security number, address (also previous or temporary address, possibly c/o) contract number and apartment number, telephone number and possibly e-mail address, presence of security, possible guarantor, presence of trustee, guarantor and, where applicable, contact details for this person, information about payments, direct debit, passage logs in electronic key systems (where available). For student housing, the scope of studies is added through the admission notice.
In order to safeguard legal claims due to the agreement, the following may also be processed:
Payment defaults, disturbances in the accommodation, notification to the social welfare board due to the points above, suspicion of criminal activity in the apartment, information needed to be able to control unauthorized subletting and transfers.

Contact information for relatives (ICE – In Case of Emergency), language preference that does not involve information about ethnicity, information such as housing adaptations in the apartment or health status, information about an interpreter and in which language, storage of personal data.
We save your data as long as the data is necessary to fulfill the purposes for which the data was initially collected. We have ongoing procedures that ensure that we do not store unnecessary data about you and we minimize the storage time as much as possible.
Access to personal data
We handle your personal data restrictively. Processing, storage and deletion takes place in a safe and secure manner that ensures that no unauthorized person has access to the data. As a rule, we do not disclose your personal data to third parties, but sometimes it is necessary for the rental relationship. Your personal data may be used by our suppliers (so-called personal data processors). This can, for example, mean insurance companies, a security company's property emergency and partners who carry out repairs, maintenance and service in your property. These are subject to the same restrictions as us, according to agreement. Information may be disclosed to authorities in cases where this is required by law or authority decision. In the event of a possible sale of the property, the information may be provided to the buyer of the property. We never disclose personal data for external marketing purposes.
